Hi! I’m Larkfield’s AI assistant. I can answer questions, give price ranges and book service, day or night. What’s going on?
Hi, my AC started making a loud buzzing noise this afternoon. It’s still cooling but it’s loud. How much to have someone look at it, and how soon can you come?

Sorry about that. Let’s get it sorted.

First, a quick safety check: any burning smell, smoke or sparks near the unit?

Then two questions so we send the right tech with the right parts:

  1. Is the noise coming from the outdoor unit or from inside the house?
  2. When the system kicks on, does the fan on top of the outdoor unit start spinning right away?
No smell or smoke. It’s the outdoor unit. It buzzes for a few seconds when it kicks on and the fan is slow to start. The system is about 9 years old.

Thanks, that helps. A buzz at start-up with a slow fan usually points to a weak capacitor or contactor: a common repair, usually done in one visit.

From our price book:

  • Diagnostic visit: $89, credited toward the repair
  • Capacitor or contactor replacement: $165–$265 total

Since it’s still cooling, a regular visit tomorrow avoids our $149 after-hours fee.

I can get a technician to you tomorrow, Wednesday, July 15. Which window works best?
8:00–10:00 am
Perfect. What’s your full name, the service address and a mobile number for text updates?

Your technician confirms the price before any work starts.

I’ve texted you a confirmation, and Marcus will text when he’s on his way. Tonight, if you notice a burning smell or the buzzing won’t stop, switch the system off at the thermostat and reply here. I’ll get our on-call technician on the phone.
Thanks! Since it’s 9 years old, do you offer financing if we end up replacing it?
Good question. Financing depends on the system and the plan you choose, so I’ve asked Renee, our office manager, to call you tomorrow by 10 am. She’ll have this conversation in front of her, so you won’t need to repeat anything.

03A day with your AI workforce

One business day, start to finish.

Follow a fictional 18-person plumbing and heating company from the first email to the end-of-day summary. Scroll to move the clock.

7:30 amExecutive Assistant

The inbox is sorted before the first coffee.

38 emails came in overnight. 6 need the owner, 11 routine replies are drafted for approval and 3 tasks go to the right people.

9:40 amCustomer Agent

A website question becomes a booked job.

A homeowner asks about a buzzing AC. The agent checks it’s safe, quotes from the price book and books today’s 1 to 3 pm opening, while the office stays on the phones.

1:15 pmAnalyst Agent

A margin leak, caught early.

Water-heater installs slid from a 40% margin to 34% in eight weeks. Tank costs went up; the price book didn’t. The fix waits for the owner’s OK.

3:30 pmSales Agent

Nine researched emails wait for a yes.

It looked into 12 local property managers, skipped 3 with no clear reason to write and drafted 9 specific emails. Nothing sends until someone approves.

6:00 pmDaily summary

The day, accounted for.

A short summary lands in the owner’s inbox: 2.2 hours back, 4 jobs booked, 20 approvals given and one decision still waiting.

1.0 + 0.5 + 0.4 + 0.2 + 0.1 = 2.2 h across five agents

06How it works

Start small. Prove it. Then scale.

The same four steps every time. We prove value on one job, with your team in control, before anything expands.

01

Assess

Free. We learn how your business runs and where the hours go, then rank your best opportunities by value.

A 30-minute call

You getYour top opportunities, in writing, within about 3 business days

02

Design

We map the workflow with the people who do it today and agree what the agent may do alone and what needs your OK.

Typically 1 to 2 weeks

You getA written plan with guardrails, a baseline and a success measure

03

Build and pilot

We connect your tools and test on your past work. Then the agent goes live, and your team approves its work.

Typically 3 to 6 weeks

You getA pilot report with a clear call: go, adjust or stop

04

Run and improve

We monitor, tune and fix as part of the work. Agents take on more only when you approve it.

Ongoing, with a monthly review

You getA monthly report in hours and dollars, against the baseline

What you pay for, and when

  1. Covers: Assess

    Free

A 30-minute call, then your top opportunities in writing within about 3 business days. No obligation.

  2. Covers: Design, build and pilot

    One fixed price

For one job, agreed in writing before work starts. Typically 4 to 8 weeks to the pilot report, with the first agent live in 2 to 4. No obligation to continue.

  3. Covers: Run and improve

    A flat monthly fee

Covers monitoring, upkeep, changes within scope and AI usage at the agreed volumes. Outside costs, like phone minutes, at cost. No long-term contract.

Every proposal puts our fee next to the modeled savings, so you see the payback before you sign.

How pricing works

Your team’s time: a couple of hours in week one, then a short weekly check-in. Timelines depend on scope and on how quickly we can get access to your tools.

07Why Halyard

The difference is who does the work.

AI tools give you capability. Agencies give you a workflow. We give you a working result, and we stay accountable for it.

  • Outcomes, not logins

Finished work inside the tools you already use. Nothing new for your team to learn.

  • Built for your business

Agents learn your services, prices, policies and voice, and prove themselves on your past work first.

  • People in control

You set the approval rules and the hard limits. Autonomy grows only when the results justify it.

  • Accountable for results

One named lead, a baseline agreed up front and a monthly report against it, in hours and dollars.

DIY tools are a good fit for one person’s tasks. They get harder when the work spans systems, people and customers. That’s where we come in.

08Security and control

Your data stays yours. Your people stay in charge.

Giving an agent access to your business is like handing over a key. Here’s how we handle it.

  • Only the keys each job needs

  • You approve what matters

Payments, refunds, price changes, bulk sends and anything else you choose wait for a person to say yes.

  • Your data doesn’t train AI

Business-grade AI services whose terms exclude training on your data, and a list of every outside service that touches it.

  • An off switch you control

Pause or turn off any agent at any time. Your team picks up right where it left off.

10FAQ

Straight answers to common questions.

Something else on your mind? Ask it on the free assessment call.

How is this different from using ChatGPT ourselves?

Chat tools help one person with one question. An agent does a job. It’s connected to your systems, follows your rules, takes action (books the appointment, updates the spreadsheet, logs the email) and knows when to hand off to a person. We build it, test it on your past work and keep it running.

How much does it cost?

We don’t publish prices because scope drives them, but the structure is simple. A pilot is a fixed price for a fixed scope, agreed in writing before any work starts. If you continue, managed agents are a flat monthly fee that covers monitoring, upkeep, changes within scope and AI usage at the volumes we agreed. Third-party costs, like phone minutes or a software seat, are listed in the proposal at cost.

There’s no long-term contract to start, and every proposal puts our fee next to the modeled savings, so you see the payback before you sign. Want a yardstick now? The savings calculator shows your break-even budget: the most an AI program could cost each month and still pay for itself in time saved.

How long until it’s working?

A first agent is typically live 2 to 4 weeks after kickoff. For the first few weeks, your team approves its work in short reviews built into the day, and that’s how it learns your standards. Some benefits, like answering after-hours inquiries, start on day one. Time savings grow as routine work runs without review, and the full benefit usually takes 2 to 3 months. Projects that connect to practice-management, field-service or ERP systems take longer, and you get a dated plan before work starts.

What if an agent gets something wrong?

It will happen occasionally, so we plan for it. Agents answer only from information you approve, anything unclear goes to a person, and early on your team approves the work before it goes out, which is where most mistakes get caught.

If one slips through, we tell you the same business day, correct it with the customer or in the record, pause that kind of task if needed and fix the cause. You’ll see what happened and what changed in the next report. Your agreement spells out who is responsible for what, and every action is logged, so there’s never a question about what the agent did or why.

Is our data safe?

Here’s exactly how we handle it. Agents get only the access a job needs, read-only by default, and every action they take is logged. Payments, refunds, bulk sends and anything else you choose wait for a person. We use business-grade AI services whose terms exclude training on your data, and before anything connects, you get a list of every outside service that will touch it.

On our side, only the people building and running your agents can see your data, under a signed confidentiality agreement, and we review agent work inside your systems instead of copying data out. Do we have a SOC 2 report? Not yet, and we won’t imply otherwise. We’ll answer your security questionnaire in writing and work within your IT policies, in accounts you own wherever possible. How we handle data.

Do we need technical staff or new software?

No. We do the technical work, and agents work inside the tools you already use, like Gmail or Outlook, Excel, QuickBooks and your CRM. What we need is a decision-maker who can arrange access and review the agent’s early work: typically a couple of hours in the first week, then a short weekly check-in during the pilot.

Will AI replace my employees?

No. We design agents to take specific, repetitive tasks, not whole jobs: the same questions, the copy and paste, the weekly report. That gives your people time for customers, judgment calls and growth. You can use the hours to take on more work without hiring, cut overtime or move people to higher-value work.

Do you have case studies or references?

Not yet, and we won’t invent them. Here’s what you can check instead. On the first call you’ll meet the person who would lead your project. You can watch every agent work and check the math behind every number. And you start with a fixed-price pilot and a success measure agreed in writing; if the pilot misses it, you decide whether to continue. Being early has an upside, too: you work directly with the people who built the firm.

What happens if we stop working together?

You keep your data, your accounts and the business knowledge we organized for your agents, such as FAQs, price lists and rules. We document how everything is set up, remove our access and help with a clean handover.
